To log in to SPAERC, you must have an assigned ASTRA role. One of the OSP ASTRA administrators will assign you the appropriate role(s). There are several OSP roles available:

  • OSP Administrator is for OSP staff in general.
  • OSP Subcontracts is for OSP staff in the subcontracts group.
  • OSP System Administrator has special authority and is limited to a small number of OSP staff.
  • SPAERC Read-Only is generally for central office staff outside of OSP who need to view applications and related items, and their attachments.

Log on to SPAERC

SPAERC is a web-based application which you access from your browser.

  1. Go to /research/tools/spaerc/
  2. Select Sign In
  3. Enter your 91̽NetID and password on the 91̽NetID web login page

When you log on for the first time, you will see the default Application tasklist page with a list of items. See the Establish a Default Tasklist section for information on setting your own default choices.

Session Timeout

When you are logged in to SPAERC, but have not been actively using the system for 40 minutes, you will see a dialog message indicating that your session will expire in 5:00 minutes. The dialog will continue to count down the time. You have the option to click “Keep Working” to re-activate your session.

If you do not click “Keep Working”, then when the time count reaches zero (0) minutes, your session will expire. Your browser will be redirected to a page containing links to all SAGE Suite application logins.

The following image shows the session timeout dialog, with the time remaining until expiration and the instruction to click “Keep Working” if you want to continue to stay logged in.

Washington Innovation Advantage Program (WIAP) Column Available on Task List

A new column can be optionally displayed on the SPAERC task lists for Funding Actions and Admin Actions The column will display the value selected in the WIAP field (Yes, No, blank). Users can sort the task list by that column. The following image shows the Funding Actions task list with the WIAP column highlighted.

RRF Funding Actions No Longer Require an Award Signature

When RRF is listed as the sponsor, the Award Signature field now defaults to “Not Required.” The field will still be editable when the FA is “In OSP” status.

The following updates were released on July 25th, 2013:

  • The answer to the Ready to Submit question now displays on the SPAERC control sheet and the Attachments and Routing page for all application types.
  • Navigational menus/links no longer display on popup windows such as auto-generated email draft windows.
  • When the parent item of an Admin Action is changed, the Action text now reflects the appropriate Admin Action number.
  • The SPAERC Task list now displays values for “Yes” and “N/A” in the Paper column.
  • When updating FA, AA, and SC attachments the current description will display in the description field and be editable.
  • Subcontracts will now appear on the Cycle Details page after every FA they are associated with, as they do on the Cycles Details flyout.
  • Auto-generated document fields in SPAERC now have single spacing between lines of text entered.
  • If an application’s initial sponsor is changed from RRF or to RRF, when the eGC1 is re-submitted, it will be appropriately re-assigned.
  • Now you can directly re-parent an application which is the child of another application in the same cycle.
  • For Grant Runner eGC1s that are connected to SAGE Budgets, the irrelevant Approved Attachments links have been removed from the History & Comments page and the Grants.gov Tracking History section of the GR Submission & Status page for actions associated with the submission steps (Name is Grants.gov).
  • The “Change Action Type” drop down menu no longer includes “Post Award Change” as an option for FAs that have a parent (eGC1). This modification will enforce the parenting rules that have been established.
  • On the Admin Actions’ Auto Generated Documents page, the email instructions label was changed to “SFI Compliance Notification”.

  • OSP Notes for returning an item to GCA will be a required field.
  • A new date can be added to the tasklist called assigned to date. This will allow you to track when new items are added to your list.
  • Only users with the Subcontracts Role will be able to create a subcontract shell. General users will no longer be able to add a subcontract shell within an FA.
  • Subcontracts formerly assigned to Verenice Bendana (Barbosa) and Judy Yoshioka will be moved to e-shelf.
  • One additional question has been added to the eGC1 Security Compliance Questions. Approval workflow was added for Security Review when the preparer answers “Yes” to the new question. An automatic hold will apply when the preparer answers “Yes” to any of the Security questions. The new workflow process will apply to only newly created eGC1s at the time of release.
  • Budget number and prior budget number field validation has been placed to allow only numeric and dash in these fields.
  • Advance Budget Request will always be blocked until OSP allows the Advance Budget Request to go through. GIM updates, process updates and procedures are still being vetted.
  • Planned Bug Fixes:

    • The error message color block for Subcontracts page validation will be corrected to fully cover all the error text in color.
    • Status Checker will no longer display HTML code.
    • Pending Sponsor and Pending Flow Through Sponsor will not be allowed on approval of Applications or FA’s.

    After you make changes to your Tasklist Options, click Update View to see the results of those changes. This changed view is temporary and  will be used only until you log out of SPAERC or close your browser window.

    If you want to save a particular view of a tasklist as its standard one, click the Actions button, and then select Save Tasklist Settings.

    Try opening the Tasklist Options and clicking Clear Sorting to clear any existing sort order, then click the column you want to sort on. Sorting is cumulative in SPAERC, which means that if you click a second column without clearing the existing sort order, items will be sorted by the first column and then the second column.

    Note: You can also sort items in your tasklist by using the Initial Sorting for Items section of the Tasklist Options, then updating the view.

    If you have information about an item that is in a cycle you want to view, you can use the item to open the cycle. You can do this from the Tasklist of any Application, Funding Action, or Admin Action or from the opened item itself.

    To open a Cycle from the Tasklist of an Item in the Cycle

    1. From the Tasklist, find the item that is in the Cycle you want to open.
    2. Click action to display the menu for that item.
    1. Click Open Cycle to open the Cycle Details page in a new window.

    To open a Cycle from an item in the Cycle

    When you are working directly in an item, you can navigate to its parent Cycle from the open item.

    1. From the open item, hover over the Cycle Details Tab to view the cycle details (including the Cycle ID Number) and links to other items in the Cycle.

    1. Click View Cycle Details. This will refresh the window to display the Cycle Details page.

    Note: If the item is not in a Cycle, then the Actions +  menu will not include the “Open Cycle” link, and the Cycle Details tab will not display any details.

    Assigned To By default, a newly-created cycle is assigned to File. You cannot change the assignment.
    Mod Nbr Award Modification Number on a Funding Action, or the Modification Number on a Subaward Action
    Org Rcvg Funding Name of Organization Receiving Funding; populated from the first child item added to the cycle
    Org Rcvg Funding Code Code of Organization Receiving Funding; populated from first child
    PI Name Principal Investigator; populated from first child
    Short Title Also known as the Budget title; populated from first child
    Sponsor Name Populated from first child
