It includes all programmatic and administrative activities related to completing the project. Closeout extends for as long as research and administrative records are retained and as long as results are being disseminated, often long after sponsors have considered the closeout period to have terminated.<\/p>\n<h2><strong>Roles<\/strong><\/h2>\n<ul>\n<li>The award can be reconciled and closed after Grant &amp; Contract Accounting (GCA) receives all necessary financial information from the department.<\/li>\n<li>GCA closes the award in the  91探花financial system.<\/li>\n<li>The Principal Investigator (PI) prepares a final invention report, according to sponsor requirements, and submits to the Office of Sponsored Programs (OSP).<\/li>\n<li>The research team, led by the PI, prepares and disseminates reports of the findings of the research project and provides a copy to OSP.<\/li>\n<li>The Equipment Inventory Office prepares a final equipment disposition report, according to sponsor requirements.<\/li>\n<\/ul>\n<h2><strong>Plan\/Act<\/strong><\/h2>\n<ul>\n<li>Scientific\/programmatic closeout must comply with sponsor requirements that can include results dissemination, publication guidelines, and records retention. Make sure you know your sponsor requirements and have resources lined up to meet them.<\/li>\n<li>Submit all final performance documentation required by the sponsor <a href=\"https:\/\/www.washington.edu\/research\/policies\/gim-39-closeout-of-sponsored-programs\/\" target=\"_blank\" rel=\"noopener noreferrer\">no later than 90 days<\/a> following the period of performance end date, unless the sponsor grants a <a href=\"https:\/\/www.washington.edu\/research\/faq\/how-does-the-no-cost-extension-process-work\/\" target=\"_blank\" rel=\"noopener noreferrer\">no cost extension<\/a> or a non-competing renewal. Administrative closeout of the project must comply with sponsor and University policies.<\/li>\n<\/ul>\n<h2><strong>Checklist<\/strong><\/h2>\n<ul class=\"checklist\">\n<li>Submit <a href=\"https:\/\/www.washington.edu\/research\/myresearch-lifecycle\/closeout\/reporting\/#technical\" target=\"_blank\" rel=\"noopener noreferrer\">final technical reports<\/a> to external sponsors.<\/li>\n<li><a href=\"https:\/\/www.washington.edu\/research\/myresearch-lifecycle\/closeout\/equipment\/\" target=\"_blank\" rel=\"noopener noreferrer\">Report any equipment<\/a> acquired during the project to the Equipment Inventory Office.<\/li>\n<li><a href=\"https:\/\/www.washington.edu\/research\/myresearch-lifecycle\/closeout\/reporting\/#invention\" target=\"_blank\" rel=\"noopener noreferrer\">Report innovations<\/a> to  91探花CoMotion.<\/li>\n<li>Maintain records according to record retention requirements.<\/li>\n<li>Review <a href=\"http:\/\/f2.washington.edu\/fm\/gca\/close-budget\" target=\"_blank\" rel=\"noopener noreferrer\">GCA pages for guidance on closeout processes<\/a>.<\/li>\n<li>Review the\u00a0<a href=\"https:\/\/www.washington.edu\/research\/myresearch-lifecycle\/closeout\/financials\/#end-of-award-checklist\" target=\"_blank\" rel=\"noopener noreferrer\">End of Award Review Checklist<\/a>.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>The Closeout stage begins when a funded project period ends or when all data have been collected and analyzed.
